Role: Business Administration Coordinator – The Incuba

Location: Central Bedfordshire College – The Incuba, Dunstable

Salary/Benefits: Salary is between £24,720 and £29,870 per annum DOE and Qualifications, 27 days annual leave plus Bank holidays, People’s pension, Retail and Leisure Discounts, excellent professional and personal development opportunities, accessing college courses.

Hours/Weeks: 37 hours per week – 52 weeks per year

About the role:

We are currently seeking a Business Administration Coordinator to join our Construction and Building Services department at The Bedford College Group.

As a Business Administration Coordinator, you play an important role in the success of our students through:

  • Front-of-House & Communication – Act as the main point of contact for staff, students, contractors, and Incuba business occupiers, handling reception duties, phone enquiries, and general support with professionalism and efficiency.
  • Business Occupier Management – Manage office lettings and business address services, including tours, application processing, license agreements, DBS checks, invoicing, and IT/access setup for new occupiers.
  • Operational Oversight – Ensure the smooth running of the Incuba by coordinating with IT, estates, security, catering, and cleaning teams, raising helpdesk tickets, and conducting regular building checks and risk assessments.
  • Administrative & Technical Support – Support staff and students with IT issues, password resets, and Pro-monitor updates; manage deliveries, consumables, and assist with workshop and classroom needs.
  • Compliance & Coordination – Maintain accurate records, chase payments, support finance with invoicing, and ensure all activities align with TBCG policies, procedures, and values.

About you:

  • Qualifications & Experience – Holds GCSEs (A*-C/9-4) or equivalent in English and Maths, with experience in customer service and handling challenging situations to achieve positive outcomes.
  • Technical & Administrative Skills – Proficient in Microsoft Office and internet use; able to maintain records, manage busy workloads, and handle sensitive data with confidentiality and professionalism.
  • Communication & Interpersonal Skills – Friendly and welcoming with strong verbal, written, and telephone communication; able to build relationships, work in teams, and contribute positively to a supportive environment.
  • Professionalism & Adaptability – Demonstrates calmness under pressure, prioritises effectively, and adheres to college policies, dress code, and values including inclusivity, teamwork, and continuous improvement.
  • Safeguarding & Flexibility – Committed to safeguarding and health and safety; maintains appropriate boundaries with young people, willing to travel across campuses, and flexible with working hours including evenings and weekends.
