Executive Business Coordinator

Location: Orpington, London

Job Purpose:

To provide high level support to the Executive Management Team and assist with the management of governance processes.

Key Responsibilities and Accountabilities:

To liaise with relevant members of the Senior Management Team to prepare/draft and/or collate draft papers for relevant Director approval for the following:
JTL Board
JT Limited Board
Investment Committee
Finance, Audit and Risk Committee
Horizon Scanning Working Group
To support the preparation of the Strategic and Business Plans
To support the preparation of the Risk Register
To assist members of the Executive Management Team and budget holders with preparation for the quarterly reviews including planning and organising meetings and preparing and issuing documentation
To understand the business sufficiently to ensure that the content of draft documents is correct and consistent with other sources of information
To ensure that draft documents are prepared in a consistent and professional manner and are checked for accuracy and context
To assist the Executive Management Team with the preparation of presentations for external use, ensuring consistency with JTL brand guidelines
To ensure that draft documents are presented to Directors with sufficient time to review and amend to meet agreed deadlines
To liaise with Directors to ensure that actions from previous meetings are addressed in a timely fashion
To handle all information with discretion
To ensure that all requirements for meetings are agreed in advance and checked on the day, including room and catering arrangements, IT equipment and any other required facilities
To take minutes of meetings as required
To engage in other such duties, at the discretion of the line manager, as and when necessary.

Essential Requirements:

Educated to A-Level /NVQ Level 3 standard or equivalent.
GCSE English and Math (A-C, 9-5) O’Level (A-C) or equivalent.
Good IT skills, especially Microsoft Word, Excel, PowerPoint and Outlook.
Good interpersonal skills
Well-developed writing skills with high attention to detail.
Ability to work independently and maintain strict confidentiality at all times
Willing to travel

Desirable Requirements:

Knowledge of JTL, the work-based learning sector and the building services engineering sector
